The Opportunity
The Recruiting Operations Coordinator is the operational backbone of Postman's recruiting function. In this role, you will ensure that every search runs smoothly from open to close — keeping interviews scheduled, data clean, feedback flowing, and candidates well-informed throughout their experience. This is an ideal role for someone early in their career who is organized, detail-oriented, and excited to build foundational expertise in talent acquisition at a fast-growing technology company. You will work closely with recruiters, hiring managers, and candidates, and will play a direct role in how Postman is perceived as an employer.
What You'll Do
Interview Coordination
Own end-to-end interview scheduling across all active roles, coordinating availability between candidates, interviewers, and hiring managers with a high degree of accuracy and responsiveness
Send timely confirmations, reminders, and logistical details to all interview participants
Manage reschedules and last-minute changes with professionalism and minimal disruption to the process
Proactively identify and solve scheduling or process bottlenecks, continuously improving recruiting workflows and coordination processes
Data Integrity & ATS Hygiene
Audit active job requisitions to ensure all required fields are complete and accurate in the ATS — including job details, compensation bands, stage statuses, and interviewer assignments
Flag and resolve data gaps in collaboration with recruiters before they affect reporting
Ensure every closed role has a complete and accurate record before it is archived
Feedback & Interview Completion
Monitor interview completion rates and follow up with interviewers to ensure feedback is submitted within expected SLAs
Track which interviews have been recorded and flag any gaps to the relevant recruiter
Maintain a real-time view of where feedback is outstanding across all active searches
Candidate Experience & Surveys
Deliver a high-touch, candidate-first experience across every stage of the interview process
Coordinate the distribution of candidate experience surveys at key touchpoints
